Most local businesses know AI exists. The problem isn’t awareness – it’s knowing what to actually do with it when you’re serving customers, managing stock, and doing the books all at the same time.
You don’t need to learn AI. You don’t need expensive tools. You just need to bring it to where you’re already working.
Here are three things you can do with AI on your phone right now.
AI on your phone: Three ways to save time today | Grow London Local
1. Turn Voice Notes into Social Posts
You’ve got ideas while you’re unpacking boxes or walking to the car. By the time you sit down to write them up, the moment’s gone.
Stop trying to remember. Just capture it.
How it works:
Open ChatGPT or Claude on your phone. Hit the voice button. Talk naturally – doesn’t need to be polished.
“Opening late next Thursday, staying open till 8pm. Got loads of new stock in, winter sale stuff, some really good deals. Bring a mate, I’ll have some nibbles out, maybe a glass of wine.”
Then say: “Turn this into an Instagram post with hashtags.”
That’s one post done in 30 seconds.
Where it gets useful:
Ask for three more posts about the same thing, different angles. Then ask for a content schedule across Instagram and Facebook for the next week. Then ask for it in a table you can copy into a spreadsheet.
One rough voice note becomes a week’s worth of content. That’s not a trick – that’s a time saver.
2. Photos and Voice Notes Become Product Descriptions
Listing products online but terrible at writing descriptions? You’re not alone.
How it works:
Take a photo of the product. Upload it to ChatGPT or Claude.
Say: “This is a new product I’m selling. Ask me some questions about it so you can write me a really good product description.”
AI asks you 4-5 questions. Answer them out loud – rough answers, no script needed.
Then say: “Write me a product description for my website – about 50 words, appealing but not over the top.”
Done. One product described professionally in under a minute.
You can do your entire shop inventory on a lunch break. No typing. Just photos and voice notes.
3. Messy Meeting Notes Become Action Points
You’ve just had a meeting. Your notes are all over the place – notebook, post-its, back of a receipt. You know what needs doing, but turning it into something clear for your team means retyping everything.
How it works:
Take a photo of your messy notes. Upload it.
Say: “I just had a supplier meeting and took these messy notes. Turn them into clear action points – what I need to do, what the team needs to do, and what we’re waiting on from the supplier.”
AI reads your handwriting, pulls out the key information, organises it.
Then if you want: “Now write me a follow-up email to the supplier – professional but friendly, confirming next steps.”
No retyping. No trying to remember what was important. Photo, prompt, done.
The Pattern Behind All Three
Here’s what these examples have in common:
- Give AI the raw material – Voice, image, text. Whatever’s quickest for you in that moment.
- Tell it what you need – Be specific. Not “help me with this” but “turn this into action points” or “write me a 50-word description.”
- Review and tweak – You’re the editor. AI’s the first draft.
That’s it.
Where Most People Get Stuck
They try it once. Get a decent result. Then forget about it for a week.
The businesses that actually get value? They don’t use AI for one-off tasks. They use it where they’re already working.
Ask yourself: where am I doing the same thing over and over? Where am I rushing because there’s not enough time?
That’s where AI helps.
Screen grab your to-do list. Ask what you could actually finish in 90 minutes.
Voice note yourself on Friday about what went well. Turn it into a team update.
Customer message at 7pm when you’re cooking dinner? Screenshot it, AI writes the professional reply, you just tweak and send.
You’re not learning AI. You’re just using it in the gaps.
Getting Started
Download a free app:
- ChatGPT (OpenAI)
- Claude (Anthropic)
Both have free versions. Everything I’ve described here works on the free version. Don’t spend money until you know what problems you’re solving.
Try one thing tomorrow:
Pick whichever example feels most useful to you. Do it once. See what happens.
Then spot another use the day after. Then another.
That’s how you build capability – not by watching webinars or reading blog posts, but by doing small things repeatedly.
If You Want to Go Further
Once you’ve tried the basics and you’re thinking “right, how do I make this consistent across everything I do” – that’s when systems thinking makes sense.
Custom GPTs that know your business. Documentation that AI can follow. Connecting workflows so one input creates multiple outputs.
I’ve covered that in previous webinars. But don’t skip ahead. You need to know what problems you’re actually solving first.
Or Get Someone on Your Team Doing This
You can absolutely learn this yourself. Watch webinars, experiment, figure it out.
But if you’re running a business, you probably won’t. Not because you don’t want to, but because there’s always something more urgent.
That’s why we built the AI & Automation Level 4 apprenticeship for small businesses. Someone on your team learns how to spot where AI saves time, builds it into your processes, becomes your internal capability. Government-funded, designed for businesses your size.
If that sounds more realistic than doing it yourself please book in a call with our team.
The Real Lesson
Bring AI to where you already work.
Don’t make it a big project. Don’t wait until you’ve got it figured out. Don’t copy what worked for someone else’s business.
Just try something small today. You’ll spot another use tomorrow.
That’s how this works.
